Background
Rapid Solutions has worked with GR Scott for over fifteen years. In that time we have built their ecommerce parts store, an in-house CRM database and supported their Shopify migration. When the conversation turned to a Coldroom Configurator, it was more a case of giving it a go than worrying about how technically ambitious the project would become.
GR Scott are known for manufacturing coldrooms to unusual specifications. Specialist purpose builds, bespoke dimensions, non standard configurations. Quoting requires an immense amount of knowledge and experience with years of designing rooms that do not fit a standard template.
The business needed a way to guide a colleague through the quoting process without a lead engineer having to be involved in every job. Something that would let less experienced members of the team produce accurate quotes independently. Something that would preserve that expertise for the future as the team changes over time.
How we approached it
Over a period of six months we sat with the GR Scott engineering team. Learning the design process from the inside. Understanding how components relate to each other, what constraints govern which choices, how a room comes together from first principles.
The project was built by focusing on narrower requirements, providing a working demo and iterating each time with refinement before adding the next requirement. Other words using an Agile Software development methodology was best suited for this client and getting best use of their time during the project.
What the Configurator does
Guided specification
The user works through a series of questions about a coldroom. Dimensions, purpose, temperature requirements, door configuration, panel specification. Each answer shapes what comes next. Invalid combinations are not available. The system applies the same design logic a lead engineer would use, without the engineer needing to be present.
Instant visual preview
The Configurator generates a live SVG vector drawing of the room. The user can see what they are specifying as they go rather than waiting until the end. The preview updates with each selection and reflects the actual design rather than a generic illustration.
CAD drawing export
On completion, the Configurator exports the room as a DXF file compatible with AutoCAD into components grouped by layers. The drawing is generated from the specification rather than drawn manually.
Bill of materials
Panel quantities, door hardware, fixings, seals. The bill of materials comes directly from the configuration rather than being compiled separately, which removes the risk of items being missed or miscounted.
Production work plan
Alongside the bill of materials, the Configurator produces a work plan for the production team. The information needed to build the room follows directly from the specification without a separate document being prepared by hand.
Editable pricing
Before a quote goes out, pricing can be reviewed and adjusted within the Configurator. The system calculates from the specification but the team retains the ability to apply discretion where needed. The quote reflects both the system's output and the knowledge of the person sending it.
Quote integration
Completed configurations feed directly into GR Scott's internal database to generate a quote. Pricing is calculated from the specification. No manual data entry, no transferring information between systems.
Where it is now
Version 1 of the Configurator covers modular rectangular coldrooms. That scope was a deliberate choice. Get the foundation right before expanding into complex configurations. The design principles, the object orientated code architecture and the CAD export are all built to accommodate what comes next.
A new revision is currently underway. The scope is growing as confidence in the system builds and more of GR Scott's design knowledge is encoded into it.
